Plone Foundation Board Minutes May 1, 2025

Call to Order

  • Meeting started at 20:09

Attendance

  • Present: Brian Davis, João Henrique Gouveia, Mikel Larreategi, Martin Peeters, and Guido Stevens (arriving late)
  • Excused: Rafahela Bazzanella and Eric Brehault

Approval of the minutes of

  • April 17, 2025: Gouveia motions to approve. Brian seconds. All in favor.

Action items

  • Mikel didn't contact AI team yet re: board emails.
  • Martin has been in contact with Beth.
    • We wish to thank Beth for her many years of service as Treasuer of the Plone Foundation. We greatly appreciate her dedication to this role and all that she has done along the way.

Incoming Correspondence

  • TKim: Conference sponsorship funds question - to be discussed

New Business

  • Sprint funding requests
    • 3 open requests, but waiting for Bucharest and Salamina budgets.
    • Only 1 request so far with a specific amount, Beethoven.
      • We budgeted 6k. However, in order to not overcommit, we would like to reduce initially and then increase later if needed. Let's commit 5k, then reconsider again later.
      • Mikel declares interest in the Beethoven sprint, because he is planning to attend.
      • Mikel motions to allocate 5k for the Beethoven sprint. Brian seconds. All in favor.

Continued Business

  • GSOC 2025
    • We lost 1 student to another organization. Eric has moved to replace with another student.
  • Plone Conference 2025
    • Mikel had holiday, so didn't attend last meeting. They have sponsors. Mikel told them to contact Martin, but Martin hasn't heard. Martin to contact Kim.

      • As a Board we have a preference to avoid fees, but resources are needed to make that happen. Payment processing should be the decision of the organizer, so they are comfortable with it. And the solution needs to be compatible with the organizer and whatever system they use.
      • It should be clear, however, that Paypal and bank fees will be deducted from the global amount of money that comes from the sponsors.
        • It was clear for Brazilian organization. It was easier for them to use the Foundation, but was clear that it comes with fees.
        • Universities however have to navigate university managers for that. So they may have budget line for conference, but not for sponsors.
      • Martin will inform Kim that we do not recommend anything besides what the organizer is comfortable with. We can provide channels for payment processing assistance.
  • New Treasurer
    • We are starting transfer of knowledge to new treasurer. Will organize a Zoom meeting with Beth and Steve.
  • AI Policy
    • Seems like they are waiting for us and we are waiting for them. So Martin will put an item on the agenda for the next Steering Circle and will attend to explain.
  • Zope Foundation Funds
    • No news. Still no contact information. Looking for a lead.

Review Ongoing

  • Mikel has drafted correspondence to attract people to the Board. Lots of time until the Conference, but good thinking ahead.
  • Discussed Plone EU support community: "For open source synergy, we need all the people we can find."
