Plone Foundation Board of Directors Meeting Minutes June 25, 2026

Call to Order

Approval of the minutes

- June 11, 2026: Eric motions to approve. Gouveia seconds. All in favor except Eric who abstains.

- Martin contacted the treasurer about the transition

- Martin did not contact Manabu yet.

New Business

During the Strategic sprint, some initiatives have been started about contributing in other ways than code and we want to pursue this effort.

- It would be nice to make sure key members of the community are involved.

- Remote sessions are an option, they allow opening the discussion to people who cannot travel.

- The external facilitator had a very positive impact, we could renew the experience.

Zope foundation GitHub admin

- Jens Vagelpohl had to change some permissions after a security incident in the collective org. He asked if we could set up a mailing list with all the people in charge of GitHub orgs, so communication is eased when facing this kind of problem.

- Jens receives a lot of vulnerability reports (that seem to be AI-generated), and it generates a lot of workload for him. We will define some ways to support him in this task.

Sovereign Tech Agency grant application : Astrid asks for our contributions regarding the challenges of our organization structure.

- We have some problems with decision-making (example: the AI article controversy), we should have proper decision workflow so important messages or actions are approved by the relevant people.

- Besides code contribution, the community must also provide a lot of other functions, it is done by different teams, but it is not organized (or let’s say it is self organized, until it’s not…), and it tends to burn out people.

- All of that could be addressed by the Plone constitution initiative.

- Eric and Rikupekka will finalize our answer.

New Treasurer Search

- We are still looking for a candidate.

- We need to define a job description, so candidates have a clear understanding of the tasks and workload, it will help convince them.

Continued Business

- PloneConf 2026: it is moving forward!

- Tickets are open for sales

- Talk proposals can be submitted

- We are considering starting a fundraising to fly some board members to the conference

- plone.org renewal is going well, the new theme is ready

- Zope foundation funds: no news
