Plone Foundation Board Minutes August 22, 2024

Paul motions to approve the minutes. Guido seconds. All in favor. Minutes are approved.

Buschenschanksprint funding

Johannes emailed that he had filled out https://plone.org/foundation/event-sponsorship/sponsorship-report-form for Buschenschanksprint funding but didn't hear back.
Form is broken. Paul says it was setup for CSV export only, not email. Paul fixed it.
Official process should be to email board@plone.org, treasurer@plone.org, and marketing@plone.org
Maybe re-do the form so it just goes to marketing. And say on there that it's better for board/treasurer to get an email.

Upcoming Board election

Need to re-elect 4 board members. Will current board members seek re-election?
Paul has been on the board a very long time, willing to step aside if others. Kim may not seek re-election. Martin and Brian will volunteer as candidates again.

Upcoming Membership renewal

Annual membership renewal is upcoming where we switch every active member on Plone.org to special state. And then they need to connect to renew.
When? Paul says no fixed time. Normally, we do it for a month in September-ish, but since conference is late, could also say October. Important thing it is done before conference when voting takes place.
How?

Need to document process on how this is done. Martin will put document in Quaive.

New sponsorship program

Guido had a meeting with Erico. Erico focusing on conference sponsorships, Guido agreed to contact all the Plone providers.
Guido will then update Sponsorship spreadsheet. Guido working on justifying business case for being a sponsor, writing the story.
Guido has followup meeting with Erico during next month's sprint.

Framework Team

GSOC

All students are doing fine. Paul's student is attending the conference.
Paul can't see all students, needs keys from Eric Brehault to get logistics.
Still need to decide who is going to Mentor's Summit? Should go, but won't be terrible if we don't. If we don't, Paul has good relationship with GSOC people and can explain the situation with Nilesh's travels. Maybe seek old mentors like Kim Nyguen? Eric B? Martin? Paul?

Plone Conference

Guido, Martin, and Brian all replied to Erico with good news.
Lots of people at last year's conference registered last minute, so low numbers are understandable.
Maybe talk to Erico about lowering the bar on the Talk form, so it's not so specific. Considering the conference is 3 months away, many people don't exactly know details on what they are going to talk about.
Paul, Brian, and Guido all planning on doing talks.

Membership Team

Kim and Paul didn't meet, but are talking daily.
Need a concerted push to increase membership. Still alot of old Plonistas that aren't members.

Zope Funds

Email from Robert Miller re: retainer. Martin to reply asking them to send retainer money back to Plone Foundation. We can hire them again if we need them. How do we do this? Check? Wire transfer?
